This article will inform you of new updates to the Celayix platform in October 2023.

Show map of site location for Self-scheduling

Show map of site location can be used so that employees can view the location of a site before Self-scheduling onto a shift in Team Xpress.

It is located inside the Set preferences in Self-scheduling.

Setup for Show map of site location

You need to ensure that the following options are selected in your Self-scheduling setup in order for this feature to be available.

Site ID in Shift Grouping.

Ensure you choose Site ID in Shift Grouping

Site name in Display.

Ensure you choose Site Name in Display

Side address is check marked in Shift fields visible to employee in the Employee access group.

Ensure Site Address is selected in Shift fields visible to employee in Employee access group

Using Show map of site location in Team Xpress

Show map of site location needs to be check marked inside the Set preferences in Self-scheduling.

Once check marked, the employee can search for shifts in Self-scheduling. They can then click on any shift they want to see the location for.

The employee will see the location of the shift in Map.

The shift location will be shown under Map

They can change to Details to see additional shift details.

You can switch to Details to see the Shift details

The employee must then press the back arrow to go back to the main Self-scheduling page.

From here, they can check mark and press Schedule me to pick up the shift.

Time zones at site level

You can now add Time zones in the Settings tab at site level in Manage sites. This feature is useful if you have sites across different provinces/states.

Currently, time zones are only applied to employees. This new feature allows you to determine the time zone by the site location instead.

Important: Note, you can only use an employee time zone or a site time zone. Not both. We recommend you only consider this feature if your company has employees that travel across different time zones.

Concatenated value in Custom columns in Time Processing

You can now choose Concatenated value as a Column value type when you create a custom column in a grid view layout in Time Processing.

Concatenated value allows you to combine 2 or more fields together in your column.

The example below shows Employee full name and Employee ID.

You can choose your Separator value for each field.

Once complete, press Create. Your column will then be added to the layout filter.

Scheduled break duration re-adjusts to align with break thresholds

A new break threshold setting will ensure that scheduled break durations re-adjust to align with your break thresholds. The introduction of this setting is to ensure that you can change a shift length and the system will recalculate your scheduled break durations for you.

If you use break thresholds, ensure you've chosen a Break Thresholds setup at site level. See below.

Let's look at an example. Let's say you have the following two break thresholds:

  1. Any shift that is 8 hours or more will allocate a 30 minute scheduled break

  2. Any shift that is 4 hours or more will allocate a 15 minute scheduled break

Because you've set the shift from 12pm-9pm (9 hours), a break of 30 minutes is allocated because the shift exceeds 8 hours. This aligns with the first option above.

If you decide to change the shift to be 12pm-6pm (6 hours) instead, you'll see the shift move into the second break threshold (as above), with 15 minutes scheduled break duration allocated.

Break duration will be determined by actual shift length

This setting ensures the system uses the actual start/end time of a shift to determine the length of break allocated in accordance with your break threshold rules.

Note: This will only work if check-in and check-out are performed in Team Xpress.

Let's look at an example. Based on a 1 hour shift break threshold, the shift below has a scheduled break duration of 6 minutes. If this setup is applied, it can change based on the actual worked time of the shift.

In the example below, the employee works 2 hours 3 minutes, instead of the 1 hour that was scheduled. Because they worked over 2 hours, they entered a 2 hour break threshold, which automatically adjusted their break to 15 minutes (instead of the 6 minutes that was scheduled).
