Find out the latest updates to the Celayix platform in July 2023

This article will inform you of all the new updates to the Celayix platform in July 2023.

In this article, we'll look at the following new features:

Billing export in Time Processing

You can now produce a Billing export from within Time Processing in Schedule Xpress. This means that you no longer have to log into eTime Xpress to export it.

You'll find the Billing export in Time Processing > Time Processing Tools > Export > Billing export.

Double-check the Date range that you're exporting shifts for is correct. This is located in the top left-corner of the panel.

Then, select your Billing export template and complete the following details:

  • Shift status

  • Choose by Site or Bill cycle

  • Customers

  • Sites

  • Invoice date

  • Invoice number

  • Batch number

  • File name

Note: The Billing template(s) will only be available if you have an integration with your Celayix platform.

Filling out your Billing export in Time Processing

At the end of the export, click Export CSV and the file will be saved to your Downloads folder. You can then upload the file into your accounting software as usual.

The Export log can be used to track all the Billing exports.

The date range of the Last export will be listed in the top-right of the panel.

Once you click Export log, you'll see a list of previous exports with export information. This will include which User exported it and when.

Notifications for expiring qualifications

You'll now be able to receive email notifications containing a .csv file of all your employees' expiring qualifications. These will be based on the Notification timing you choose.

You can access the Expiring qualifications setup in Settings > Branch features > Notifications > Expiring qualifications.

Let's look at the setup.

You'll first need to enable it by toggling the flag to Yes.

Notification timing

Notifications will be sent every Monday at noon (based on the branch time zone), and will include qualifications that expired in the past 7 days, as well as those that will expire in the next:

  • 30 days


  • 60 days

Let's look at the different options.

Notify administration

You can use this section to choose which of your Users (Admins) will receive Expiring qualifications notifications. The notifications will be sent to the email address(es) associated with the User account.

Ensure you press Apply to select the Users.

Note: Users will only see notifications for employees that their Record access group(s) permits them to see.

Send notifications for managers to a specific email address

If you check mark this option, you can input any email addresses for managers that you would like to receive expiring qualifications notifications. You can separate email addresses using a semi-colon (;).

If required, you can include specific instructions to send to the managers.

Note: An email address added to this section will receive expiring qualifications for ALL employees.

Notify employees

If you check the option to Notify employees, they'll receive a notification in the Notifications panel of their Team Xpress app, push notifications from their Team Xpress app, and email/SMS if they've given consent to receive them.

You can also choose to send specific instructions to employees if they're required to act on this.

Note: The Scheduler email address(es) in your Global defaults will be copied in to the email notifications sent to the employee(s).

Help feature

You may already be familiar with the Help feature in Schedule Xpress. However, it will now be home to the Celayix Help Center, What's new and Suggest a feature.
