Your Global defaults are settings within Schedule Xpress that help you to control how and when you distribute notifications.
In this article, we'll be exploring the following on Global defaults in Schedule Xpress:
Global defaults
You can find your Global defaults by going to Settings > Branch features > Notifications > Global defaults.
Once inside, you'll notice that Global defaults is broken down by Distribution methods, Notification timing and Scheduler notification quiet times.
Let's look at how you can set up your Distribution methods.
Distribution methods
Distribution methods is all about how you want to send notifications to your employees, and from which scheduler's email address.
Note: Changing any Global default notification options will affect all notifications in sub-branches that require Global default settings.
Distribution methods to employees
To begin, you'll notice that you can choose to distribute via Branch or Employee preference. Let's look at the differences:
Branch - Your notifications will be distributed to your employees by however you choose them to be received.
Employee preference - Your notifications will be distributed and received how the employee chooses to receive them.
Note: In-app will always be auto-selected as the system is set to ensure notifications are always received in Team Xpress.
Employee notifications consent
Even if you choose to distribute by Branch method, your employees will still need to give consent in order to received them. You can check this by heading to Manage people, going inside of the employee's account, and checking the section listed Consented to receive notifications from Celayix via.
You'll see whether they've consented to receive notifications via email or SMS. In our example, only email has been consented.
In order for this to be changed, the employee will need to use their Team Xpress app. From inside, they can click My Account > Preferences > Notifications and then choose the way they desire to receive notifications.
Note: The first chance to choose notifications consent is presented when the employee accepts your Team Xpress invitation when creating their account. So, if you require your employees to consent to both, we encourage that you notify them beforehand.
The process above influences how the Employee preference notifications are distributed.
Scheduler email
The last section of Distribution methods is Scheduler email.
This section is where you can input an email address that will be CC'd into all outgoing notifications.
Notification timing
You'll first be prompted to choose a notification timing for all notifications going to your employees and the scheduler.
You can choose:
Immediately - Immediately means that notifications will be received almost as soon as they happen.
At - At gives you the opportunity to pre-define when notifications are received. If you choose At, you can give a time and pick the days of the week these notifications will be sent.
The same process can be repeated for the scheduler.
Scheduler notifications quiet times
This setting allows users to pause their incoming notifications so they are undisturbed outside of business hours.
It's likely that many users will leave this checked as None. This means they don't want any period defined as undisturbed.
But, for those who don't want to receive any notifications during specific periods, they can define a quiet time slot.
And should you require an additional quiet hours time slot, you can simply click the option to create one.
