Shift drop allows employees the opportunity to drop a shift that they no longer can or want to work.

Locating Drop shift

Your Drop shift setup is located in your Schedule Xpress Settings, under Settings > Branch features > Shift options > Drop shift.

Drop shift setup

You can set up your Drop shift option within your Shift options. First, you'll need to ensure the Employees can drop shift flag is set to Yes.

Drop shift deadline

You can set a Drop shift deadline to prevent employees from dropping shifts at the last minute. Once the deadline is reached, the employee will no longer be able to drop their shift. The options are:

  • 'x' hours before shift start time

  • 'x' days before start date at 'x' time

  • 'x' date at 'x' time

Your Drop shift options allow you to determine how your platform responds to a shift being dropped. Your options include:

  • Approval required to drop shift

  • Publish this shift for self-scheduling

  • Publish this shift for shift bidding

  • Set this shift to open immediately

  • Create time off record for this shift

The final section of the Drop shift setup is Notifications. You can choose:

If check marked, the Scheduler and employee will be alerted via email.

Enabling Shift drop for employees

Once you've completed your Drop shift setup, you'll need to ensure that employees have the option to drop shifts from within their Team Xpress app. You can enable this option by check marking it in their Employee access group.

The option to enable Shift drop is under Shift options and field visibility, as can be seen in the image below.

Managing Shift drops in Requests

If you've check marked Approval required to drop shift and/or Create time off records for this shift in your Drop shift options, then you'll be able to manage these in your Requests in Schedule Xpress.

Ensure you choose your Request type as Shift drop so you're reviewing Shift drop requests only.

Approval required to drop shift

If you've check marked Approval required to drop shift in your Drop shift options, then you will be able to decide whether to Approve or Decline the Shift drop request.

Check mark a request and head to the top-right corner to either Approve or Decline. If you Approve it, your system will make the shift Open and create a time off record for the employee (if check marked in Drop shift options). If you Decline it, the employee will need to work the shift.

Once Approved, Shift drop Status(es) will be marked as Success.

Create time off record for this shift

If you've check marked Create time off record for this shift in your Drop shift options, the system will generate a time off record once Approved.

You can setup the Time off request type and Time off status in Drop shift options.

You'll notice a time off record will be created in place of the shift. You can see these in your Employee Availability and Time Off layout filters.
