Where to find Notify employees
You can find your Notify employees in the Schedule Tools in your Schedule Xpress.
How to use Notify employees
It's important to know that there's two different ways that you can use the Notify employees feature:
Sending out a general notification to ALL employees
Sending out notifications to employees who are working specific shifts
Let's first look at sending a general notification to all employees.
General notification to all employees
If no shifts are selected, the User can send a general notification about anything.
Example: "Please enter your availability and Time off Requests for the next month by end of this week."
The first step is to click Schedule Tools > Notify employees, without highlighting any shifts in your schedule.
Select employees to notify for General notification
The Select employees to notify list will default with ALL employees selected.
If you wish to select most employees, but not all, we'd recommend that you filter through your list and uncheck those who you don't want to notify.
If you only wish to select a few employees, we'd recommend press the Clear all option in the bottom right corner, which will uncheck all the employees in the list. You can then checkmark the ones you want to notify.
Message text for General notification
Once you've chosen your employees to notify, you'll need to type a message to send.
You can also copy the scheduler into the email if you'd like. This will default from the same section in your Global defaults.
You can press Notify employees to send the notification.

The General notification will present as below.
The example displays is from an email notification. However, you can also send via SMS if you have an SMS package with Celayix.
Notify employees about Open shifts
If Open shifts are selected, the User can choose to Notify employees about these shifts. You need to apply an Employee search rule to find employees to notify.
Note: Employees will only appear in the list to be notified if they match the criteria to work the Open shifts selected. As long as the employee(s) can work at least one of these shifts, they will be able to be notified.
Apply rule to find employees to notify
The Apply rule to find employees to notify is the section where you apply an Employee search rule to find employees who match the shift criteria.
Once applied, you'll see the number of employees available to notify. If you want to modify who you send this notification to, then you can select employees to notify.
Message text for Open shift(s)
The User can add an appropriate message to the notification. For example, "Hi everyone. Please confirm by Sunday if you want to work one of these Open shifts".
You can press Notify employees to send the notification.

Note: This will also include open shifts if selected.
Select employees to notify for Assigned shifts
The Select employees to notify will default based on the shifts that you've highlighted in your Schedule.
It will present the employees whose assigned shifts have been selected.

An example may be, “Hi everyone. Please report to the south entrance of your location at least 10 minutes prior to your shift start time”.
You can press Notify employees to send the notification.
