Unscheduled Shifts Improvements

Celayix Assistant Updates

Schedule Xpress Mobile App Updates

Bug Fixes and Improvements: January 2026

Unscheduled Shifts Improvements

The latest update lets admins allow employees to start unscheduled shifts by choosing the customer, site, and service they’ll work. Previously, unscheduled shifts were automatically created using the employee’s default customer, site and service.

To use this feature, first enable the option for employees to create unscheduled shifts in the employee access section of Schedule Xpress. Then choose which permissions apply—these control whether employees can select the site/customer and/or service when starting an unscheduled shift.

Important: If employees can’t select a customer, site, or service, the system uses their profile defaults. For example, if they can pick the customer and site but not the service, the service defaults to their profile setting.

Once enabled, employees can create unscheduled shifts directly from their Team Xpress Dashboard, as shown below.

They can click Create an unscheduled shift—employees will then see Site and Service dropdowns based on their permissions.

Clicking the Site dropdown will open the list of sites available to select from. Based on the site selection the Customer will be selected automatically depending on the customer and site structure.

Note: If employees aren’t given permission to select a customer, they’ll be limited to selecting sites at the default customer set in their profile.

The Service dropdown will also have the list of all the services available.

The chosen Site and Service will appear as shown below. Once ready, the employee can Slide to Save & Check-In—this will create the unscheduled shift at their selected site and service, as long as they are within the geofence.

If the employee is within the site geofence, a success banner will appear, as shown below.

If the employee is outside the geofence, a Device not within geo-fence error will appear.

Celayix Assistant Updates

Find out how the Celayix Assistant now helps admins with smarter shift replacements and streamlined scheduling, making workforce management easier than ever.

Shift Replacement Suggestions in Celayix Assistant

The Celayix Assistant now offers Shift Replacement Suggestions, letting admins find suitable replacements based on availability, time-off, and qualifications (general and site-specific).

In the example below, when finding a replacement for the highlighted February 2 shift, the system considers availability, time off, and qualifications, and suggests the top 5 candidates.

Access Levels to Create Shifts in Celayix Assistant

Additionally, managers can be blocked from creating shifts via the Assistant if the Add Shift option in their feature access group is toggled to No access.

See below for examples of a manager with and without access to create shifts.

Example: An admin with the ability to add shifts can use the Create shifts option in the Celayix Assistant.

Example: An admin without permission to add shifts will not see the Create shifts option in the Celayix Assistant.

Schedule Xpress Mobile App Updates

We’re rolling out several improvements to make scheduling, site navigation, and break tracking even easier and more reliable within the Schedule Xpress Mobile app.

Please ensure you've downloaded the latest version of the app to see these changes.

Deleting Shifts in the Schedule Xpress Mobile App

You can now delete shifts directly within the Schedule Xpress Mobile app, making shift management faster and more flexible.

In the app, tap on a shift, select Shift Actions, and then choose Delete Shift.

The app will ask you to confirm if you want to delete the shift. If you’re sure, tap Delete to proceed.

If successful, a confirmation banner will appear at the top of your screen.

Break Log and Duration Display in Schedule Xpress Mobile app

You can now add break log entries to create break deductions in Schedule Xpress Mobile.

First, open a shift and enter Edit mode. Inside the shift, you’ll see the Break log entries section. If the shift is complete, an Add option will appear at the bottom, allowing you to log a break.

Tap +Add break to enter the start and end times of the break. The system will automatically deduct the break duration from the total shift hours.

Note: You can add multiple break entries by tapping +Add break as many times as needed.

The total break deduction will be shown next to the Break duration field, with all individual break log entries listed below.

Accessing Site Locations in Schedule Xpress Mobile

Easily view the addresses of your scheduled sites in Google Maps directly from the Schedule Xpress Mobile app.

Inside a shift, switch from Details to Map to view the location in Google Maps. The site address will be displayed above the map.

Bug Fixes and Improvements: January 2026

We’ve made important updates to improve the user experience. Below are the notable bug fixes and improvements applied in January 2026, that will be released soon:

Archived Employees’ Time Off Now Visible in Schedules

An inconsistency where archived employees' time off records were hidden while their shift records remained visible has been resolved. A new feature flag, Show All Time Off Records in Schedule, now allows admins to display all time off records regardless of employee archive status, eliminating confusion and ensuring complete schedule visibility.

Enhanced Record Access Group Management During Site Setup

We've enhanced site record management with improved Record Access Group (RAG) control, allowing administrators to efficiently configure group membership directly within the site creation workflow. When creating or cloning a site, admins can now select or deselect RAG groups associated with the current branch, providing greater flexibility and precision in managing site access permissions.
