Accessing the Celayix Assistant
The Celayix Assistant is available directly within Schedule Xpress to help you quickly find information and complete scheduling tasks. To open it, click the Ask button (marked with a star icon) located at the top-right corner of the screen.
How Celayix Uses AI to Simplify Scheduling
Users can use the Celayix Assistant to type in their questions or select from a list of suggested prompts. Some of the helpful tasks it can perform include:
Displaying the number of open shifts for the day.
Providing a summary of shifts for the week.
Listing employees with upcoming shifts.
Helping users create open shifts on the fly.
Provides general guidance on how to use the Celayix platform.
By integrating AI into the platform, Celayix empowers users to handle scheduling tasks in a more intuitive and conversational way - saving time and reducing manual effort.
Creating Open Shifts using Celayix Assistant
You can quickly create open shifts in Schedule Xpress using the Celayix Assistant. Simply click the Ask button at the top-right corner and type a prompt like “Create an open shift” or select it from the suggested options.
The Assistant will guide you through entering key shift details such as date, time, location, and role. This makes it easy to generate open shifts on the fly—without navigating through the shift panel—saving you time and streamlining the scheduling process.
After entering the required shift details, click Create Shifts to finalize.
Note: You can also create assigned shifts for an employee by entering their name or employee ID as part of the shift details.
When you click Create Shifts, the shifts will be created in draft mode. You’ll still need to click the Save (disk icon) to finalize them.
Creating Multiple Open Shifts using Celayix Assistant
You can use the Celayix Assistant to submit a request for creating multiple open shifts. Just make sure to include all the required information, as shown in the example below.
If you're satisfied with the shifts the Celayix Assistant intends to create, click Create Shifts, then click the save icon to finalize.
Creating Assigned Shifts using Celayix Assistant
The Assistant allows you to create assigned shifts by selecting employee names or ID numbers and entering the shift details.
If you’re satisfied with the results provided by the Assistant, select Create Shifts.
Once created, your shift(s) will be in draft mode. Click the save icon to finalize them.
Deleting Shifts using Celayix Assistant
You can delete shifts in the Celayix Assistant by providing the shift details. You'll need to ensure to use the word 'delete' when making the request.
If you’re satisfied with the results provided by the Assistant, select Delete Shifts.
Deleted shifts still requires you to click the save icon to confirm the changes. The Celayix Assistant will remind you that these shifts are still in draft mode until saved.
Bulk Deleting Shifts in Celayix Assistant
The Delete shifts feature in Celayix Assistant allows you to quickly remove multiple shifts at once, saving time and reducing manual effort. With a simple, streamlined process, you can manage schedules more efficiently and keep your shift data clean and up to date.
To get started, open your Celayix Assistant and clearly specify which shifts you want to delete. The Assistant will identify the matching shifts and guide you through the bulk deletion process.
If the listed shifts look correct, the Assistant will enable the Delete Shifts option, which moves them into draft mode - giving you a final chance to review and confirm before they’re permanently deleted.
If you’re ready to proceed, click the Save icon to finalize the deletion. If you change your mind, click Undo - the left-facing arrow located to the right of the Save icon - to restore the shifts before saving.
Deleting 100+ Shifts in Celayix Assistant
If you’re looking to delete more than 100 shifts using the Celayix Assistant, you’ll currently only see a partial preview of the shifts that will be deleted. This limitation is temporary, and an enhanced, full-preview experience is expected in future updates.
Shift Replacement Suggestions in Celayix Assistant
The Celayix Assistant offers Shift Replacement Suggestions, letting admins find suitable replacements based on availability, time-off, and qualifications (general and site-specific).
In the example below, when finding a replacement for the highlighted February 2 shift, the system considers availability, time off, and qualifications, and suggests the top 5 candidates.
Celayix Assistant Highlights Scheduling Conflicts
The Celayix Assistant automatically detects double bookings and flags them as scheduling conflicts. When assigning shifts or tasks, it provides a clear view of overlapping entries, helping you understand where conflicts exist and make informed adjustments. This keeps your schedules accurate and transparent, reducing confusion and ensuring your team stays coordinated.
Resizable Celayix Assistant Panel
You can minimize or maximize the Celayix Assistant by selecting the Minimize or Maximize button located in the top-right corner of the panel.
You can also drag the edge of the panel to adjust its size and set it to your preferred view.
Feature Access for Celayix Assistant
A feature access level has been introduced, allowing you to control whether managers have No access or Run access to the Celayix Assistant.
Please note that full administrators will automatically have access to the Assistant.
Access Levels to Create Shifts in Celayix Assistant
Additionally, managers can be blocked from creating shifts via the Assistant if the Add Shift option in their feature access group is toggled to No access.
See below for examples of a manager with and without access to create shifts.
Example: An admin with the ability to add shifts can use the Create shifts option in the Celayix Assistant.
Example: An admin without permission to add shifts will not see the Create shifts option in the Celayix Assistant.
Celayix Assistant Credits System
Celayix has introduced a monthly credits system for using the Celayix Assistant.
In Schedule Xpress, navigate to Settings > Organization Settings > Client ID Settings, where you’ll find the Celayix Assistant Credits section. Here, you can set your credit limit, which determines how many queries you can run each month.
How Monthly Credits Work for the Celayix Assistant
Each client receives $10.00 in free credits per month, automatically renewing at the start of each new month. Once these credits are used up, access to the Celayix Assistant will be paused until additional credits are added.
Clients also have the option to set a custom monthly credits balance, giving them the flexibility to use the Assistant as often as needed.
How to Edit your Celayix Assistant Credit Limit
Clients can edit their credit limit by clicking the Edit limit button, highlighted in orange.
Note: Only Full Admins can change the credit limit.
Upon opening this option, you can type in a credit limit amount and click Save. This limit will be applied to your next bill.
Important: You are only billed for your actual usage each month—not your credit limit. For example, if you set a credit limit of $100.00, this simply sets the maximum you can spend, not the amount you will be charged. You will only pay for the credits you actually use.
