You can use Fast check in/out to do save time completing multiple check-ins and outs

The Fast check in/out is a useful tool for those who are looking to do multiple check-ins and check-outs at a single location. It is located inside Time Xpress.

Why use Fast check in/out?

The Fast Check in/out can be used if you have a lot of employees that require a fast check-in and out at a single location.

Note: You can do this from your mobile app or from the web browser version.

Inside Time Xpress, Fast check in/out will be located in the top-left corner on mobile phone, or top-right corner on a web browser.

Selecting defaults in Fast check in/out

You need to set defaults to continue to the check-in and check-out section. However, these default values will be used every time you use the Fast check in/out, so to save you time, you should pick ones that are most likely to have shifts associated with them. An example of this may be to choose the common scheduled start/end time.

Date - The Date will default to today's date and since Time Xpress is often used to make checks for the current day, you may not need to adjust this. Note, you can if you need to.
โ€‹Check-in time - The Check-in time should be set as the most common scheduled start time in your schedule. You can adjust this value at the time of check-in, if required.

Check-out time - The Check-out time should be set as the most common scheduled end time in your schedule. You can adjust this value at the time of check-out, if required.

Break - You can set the Break value if you want a break to be set on your shifts. Leave it as 0 if you do not use breaks.

Customer - The Customer must be set as it is a required value for the shift. Note, Customer may be labelled differently in Custom & Reference labels on your platform.

Site - The Site must be set as it is a required value for the shift. Site may be labelled differently in Custom & Reference labels on your platform.

Service - The Service must be set as it is a required value for the shift. Service may be labelled differently in Custom & Reference labels on your platform.

Note: Its also important to know that this will be the default values should you wish to check someone in who was not on the schedule (unscheduled check in).

Setting Fast check in/out defaults

After you set your defaults make sure you click Save at the bottom of the screen. You can review these defaults at any time by going to the icon.

Now that you have set up your defaults, you can begin checking employees in.

As employees walk up, ask them for their name or employee ID and type it into the Select employee field. The more characters you type, the more refined the search becomes.

Let's look at the different processes you may be using.


Scheduled Check in

The Check in workflow begins by ensuring you're inside the Check in section. It will highlight orange, as in the image below.

Note: You will default to the Check in section every time you visit the Fast check in/out.

If the employee has been scheduled for a shift then you will be shown a Check in option. You can scroll down to review their shift details if you wish.

You can also adjust how the Check in gets recorded using the different checkmark options. However, note that your default setup in the previous step will determine which option is check marked to begin with. The options are:

  • Scheduled - The scheduled time the shift is due to start.

  • Actual - The actual time it is at your current location.

  • Rounded to the nearest 15m - The current time rounded up or down to the nearest 15 minutes.

  • Other - A time that can be specified by you.

Once you're ready, click the Check in button. You should then receive a message saying the Check in was successful. Now you're ready to check the next employee in.

There may be a scenario where the employee you are attempting to Check in cannot be found.

You will receive an error message shown below and this is as far as you can go until the employee has an account created. You may want to create an internal company policy for how to handle these scenarios, but essentially, this needs to be handled by someone who has the authority to create employees on your Celayix platform.

Unscheduled Check-in

If you find an employee that does NOT have a shift scheduled for the current date, then a Check-in unscheduled option will be presented.

This tells you that the employee was not scheduled to be here, however, you still want them to work. Click Check-in unscheduled to go to the next step. They will NOT yet be checked in at this stage.

The next screen you will be presented with is the Check-in unscheduled screen. You must review this screen as this contains the details of the shift that you are about to create.

Note: All of the values here are based upon the defaults that you setup at the beginning of this process.

Creating the unscheduled shift for check in

You can change any of the Date, Check in Time, Break, Customer, Site and Service. Ideally, you should not have to change anything here if this situation is aligned with your session defaults.

After you have review and complete these details, click Save & Check-in.

Note: If you have decided NOT to create a shift for this employee, click the Cancel button to go back to the previous screen. It is important that you review these shift details ensuring that they are correct. If you create the shift and later realize you didn't have the correct shift details in place, this will mean you or someone else will have to go back and adjust the shift.

Upon clicking Save & Check-in, you will receive a success message and be taken back to the Fast Check-in/out screen.

In addition to the new Fast check in/out feature in Time Xpress, you can now scan a barcode to check an employee in and out of their shift.

This can be used on mobile phone (Android or IOS) or desktop.

The first step you'll need to take is to generate barcodes for all employee ID numbers. This can be done online at any website that allows you to generate and save barcodes.

Note: The barcodes must match the employee ID numbers to work.

We're going to use a shift for employee ID 4 as an example.

You'll first need to click Fast check in/out.

Note: You can do this for multiple shifts at once if you have the correct barcodes for the employee ID numbers.

After you pass the default section and press Save, you'll then see the option to Scan barcode to enter employee.

When you press Scan barcode to enter employee, your mobile phone or desktop will ask you to use your camera. You may need to give permission for this if you haven't already.

Ensure you have your barcode(s) ready and then use your phone or desktop camera to capture it.

If successful, the employee's name will appear in the Employee name section of the form.

Note: If it isn't successful, please ensure that the barcode is clear and isn't too bright. Alternatively, you can type the employee ID number to find the shift.

You can then choose to Check in/Check out.

Check out

At some point, the same employee who you checked in will need to be checked out. The workflow for this is very similar to the Check in workflow.

If this shift has already been checked in to, then you'll notice the Check out option will show in orange.

Note: It is NOT possible to Check-out unscheduled.

Just like Check in, find the employee, and you will see that now the Check out option is presented.

You can use the following Check out options if your default selection isn't what you want to use:

  • Scheduled - The scheduled time the shift is due to end.

  • Actual - The actual time it is at your current location.

  • Rounded to the nearest 15m - The current time rounded up or down to the nearest 15 minutes.

  • Other - A time that can be specified by you.

After clicking Check out, you will get a success message and will be taken back to the Fast Check in/out screen.

Repeat this process until all your employees are checked out.
