If you're a frequent User of Schedule Xpress, you're probably aware that you can switch to Time Xpress using your browser.
You'll login from login.celayix.com.
Note: Time Xpress and Schedule Xpress are accessed through the same log in credentials.
If you have a User account, unless your access levels have been changed, you'll be able to select Time Xpress after logging in.
You can also set it Time Xpress as your default app by selecting the orange star to the right. This will mean that every time you log in, you'll head straight to Time Xpress.
If you're already inside of Schedule Xpress, you can use the Celayix apps to switch to Time Xpress.
Let's look at how you can download the app for tablet and cell phone use.
Time Xpress in the app
You can download a Time Xpress app.
Downloading the app
The Time Xpress app is designed for tablet, but can also be used on your cell phone. For best use, we encourage that you use your browser or a tablet. You can download Time Xpress for tablet/cell phone through:
Command Strip
Before getting started, you can use your Command Strip to locate the following features:
Control Center - The Control Center takes you to the current day in your Time Xpress app. This is the section where all of your adding, updating and deleting times will take place.
Auto-match - device records to shifts - This section is used to auto-match a time clock device for the recording of shifts in Time Xpress.
Messages - Also known as the chat feature, you can use this feature to message employees if enabled.
Celayix apps - This section is used to switch between Schedule Xpress and Time Xpress apps. If you have a linked User account, you can also access Team Xpress too.
Profile - Your profile is identical to your My Account section in Schedule Xpress. This is the hub for all general system changes you'd like to make.
Shift grid
You'll see the current day's shifts when you first arrive in the Shift grid Time Xpress.
Date
Time Xpress only allows you to choose a single day to view shifts in. You can select that day by choosing your calendar and selecting.
Note: When you enter Time Xpress, it will always present the current day as default.
Alternatively, you can select the arrows to move from day-to-day.
Page selection
If you have many shift records, you can filter through them by moving to the next page.

If we increase the font size to 16 instead of 12, you'll see the font gets noticeably larger.
Reset to system defaults
Reset to system defaults will keep all the default columns and font sizes as they were, and remove any columns added or font size changes.

As an example, we're going to drag Service Description to the left-side of Customer Name. This will be two spaces to the left.
Simply press down inside a column, and drag to the direction you want it to be placed.
When you're ready to drop it, release your finger from the mouse or touchpad.
Advanced filters in Time Xpress

You can click on any of the dropdowns to set select specific criteria such as employees, customers, sites or services. It can also be used to select specific shift activities and statuses.
In this example, we've chosen Services, as highlighted in orange.
Once your specific criteria is chosen, you can save the filter for future use. We've chosen to show only shifts that are for the Service, Cleaning Services.
In the Shift grid, it now reflects only Shifts based on the chosen criteria.
Saving your filter
You can save a filter by selecting your criteria and pressing Save filter. This will permanently save the filter, making it accessible through the click of a button. \
Upon clicking Save filter, you'll be prompted to name it. We recommend naming it something that is clear and obvious. Then press Save.
Once saved, you can access these filters in the top-left corner. You can delete this filter by pressing the X next to it.
Clearing your filter
If you want to head back to No filter selected so that you can view all shifts, you can press Clear all next to the filter.
This will take you back to original state with No filter selected.

You can access a shift's details by simply clicking on a shift.
You can also access a map of the site location by clicking Map.
Fast check in/out
You can use Fast check in/out as the quickest way to do multiple check in/ins and outs at once.
Note: This process is tailored towards those who know employee ID numbers, so that they can be input quickly.
You can input the employee ID to search for their shift. Prior to Fast check in/out, remember to search for the correct date in your calendar.
You'll see if you enter a valid employee ID and the employee has a shift that day, you can apply or update check in and out times to their shift.
You can choose a Scheduled, Actual or Other time for Check out. Let's break down what each means:
Scheduled - This is the Scheduled start time of the shift
Actual - Actual is the current time right now
Other - Allows you to input a time of your choice
Once you've chosen your time, press Check out.
You can switch between Check in and Check out as below. The option highlighted orange is the option you're currently using.
eClock actions
eClock actions gives the user the ability to add and remove Check ins/outs, Start break, End break and perform safety checks.
First, you'll need to highlight a shift in order to click on your eClock actions.
Check in and Check out
Check in and Check out will allow you to set or adjust the following time for a shift:
Scheduled - This is the Scheduled start time of the shift
Actual - Actual is the current time right now
Other - Allows you to input a time of your choice
Remove check in and Remove check out
Remove check in will remove both the Check in and Check out from a shift.
Remove check out will only remove the Check out, and not the Check in.
Start break and End break
Start break and End break allows you to set an Actual or Other time that a break began and ended for a shift.
Perform safety check
Perform safety check will instantly perform a safety check, but will only allow you to do so once the shift is checked in.
Note: You can include the Safety Time column to show the latest safety check. Note, if you have done multiple safety checks for one shift, these will be recorded, but will not show in the Safety Time column.
Modify schedule
Modify schedule gives you the change to:
Add shift
Update shift
Delete shift
Find replacement
Update shift, Delete shift and Find replacement can only be used when a shift is check marked.
Important note: When modifying your schedule in Time Xpress, please be aware that any changes you make DO NOT take into account errors and warnings. For example, you can double-book a shift without warnings. The reason that Time Xpress operates this way is because it's purpose is to allow you to change the schedule after the fact, and so a no holds barred approach is taken. We encourage that when adding shifts after the fact, you proceed with caution and ensure that you're not scheduling beyond any of your usual restrictions.
Add shift, Update shift and Delete shift
You can Add shift, Update shift and Delete shift in Modify schedule.
To Update or Delete a shift, check mark the shift and click on the relevant option.
Note: If you attempt to Update or Delete a shift that has already been worked, you'll receive a warning. The example below is prior to deleting a shift.
Find replacement
Once you've selected a shift that you want to replace, select Find replacement. The page will then be displayed with all the eligible replacements, and you can select the most suitable. You can also filter employees to find the best fit.
The Find replacement option is suited to shifts taking place in the future.
You can search for replacement employees based on the following filters:
Requirements
Departments
Positions
Employee types
Availability
You can also choose to tick options and fill in the blanks for:
Not during __ consecutive days off
Total hours less than __ for the day/week/month
Rest period between shifts __ hrs __ mins
By choosing these parameters, you're able to narrow down the most suitable replacement for the shift.
Once you've selected an employee, press Update shift to make the replacement.
Once Update shift is clicked, you'll see the employee is now designated to the shift.
Map view
You can access Map view by clicking Map in the top-right corner.
The Map view is a geographical representation of where the shifts are located as per the date you've chosen to show.
A placemark will be displayed at each location and the number will correspond to how many shifts are scheduled there.
Grey placemark
A grey placemark indicates that no actions are required with any of the shifts at that location.
Note: The map will auto-refresh.
You can click on the placemark for additional information on the shift(s).
You can check mark the shift(s) to perform eClock actions or Modify schedule.
Red placemark
A red placemark indicates that there is an issue with one or more of the shifts and an action is required. To view the issue, click on the placemark and a window will appear and one or more of the labels will be red. Click on the label and the employees that are affected will be displayed.
You can check mark the shift to perform eClock actions or Modify schedule.
Auto match
The Auto match feature is used for checking attendance records from time clocks.
When Auto match is in effect, Check-ins and Check-outs from time clocks are automatically applied to the scheduled shifts.
It can be located as below.
Auto matching is an automated form of the time import capability of the eTime Xpress program. Auto match, when combined with auto import, minimizes the amount of time that is required to apply ins and outs to the schedule. Together, auto import and auto match allow you to see time clock activity in near real-time.
Certain employee behavior may trigger alerts to be issued to Users, at which time the Auto match module can be used to review and adjust Check in and Check out as appropriate.
Attendance/Shift layouts in Auto match
There are two types of records: Attendance records and Shift records.
Attendance records are the individual check-ins and check-outs. Shift records are the shifts from the Visual Scheduler and Time & Attendance areas of eTime Xpress.
The screen is divided in two. You can put attendance records at the top and shift records at the bottom, or vice versa. Switch between the two using the switch button at the top-right of the screen. When highlighted orange, it means it is currently the active of the two.
You can select a record in the top half of the screen, and then you are shown the associated records at the bottom of the screen.
Attendance view
With the shift for Employee ID 4 selected at the top of the screen, the associated shift is shown at the bottom of the screen.
Shift view
With the shift for Employee ID 3 selected at the top of the screen, the associated attendance records are shown at the bottom of the screen.
Functions
By highlighting attendance records and shifts, you can change how they are matched to each other. For example, items that are matched can be unmatched, and items that are not matched can be matched using Auto match.
Auto match
The system will attempt to match the selected attendance records with their relevant shifts. It will make the best match based on the employee, the time of their attendance record, and the type of record. Also, Check in vs Check out.
Match
Match the selected attendance records with the selected shift record manually.
Unmatch
The selected attendance or shift records will be unmatched from the associated shift or attendance records.
Ignore
The selected attendance record will be set so that it will no longer be considered during any matching operations. For example, if the employee checked in twice for the same shift. This is the logical equivalent of deleting an attendance record. You can hide or show Ignored shifts by using the Types filter at the top of the Attendance view.
Set to regular
The selected Ignored record will be set back to regular (not ignored).
eClock actions and Modify schedule
You can also use eClock actions and Modify schedule using Auto match.
