We are excited to share the latest updates to the Celayix platform, rolled out in February 2025. These updates are designed to improve functionality, enhance user experience, and ensure smoother workflows. Below, you'll find the details of the newest features and improvements.

Add shift in Schedule Xpress Mobile App

You can now add shifts using the Schedule Xpress Mobile App. Simply tap the three dots in the top right corner and select 'Add shift.'

You will need to fill out the following details:

  • Employee name.

  • Shift date.

  • Scheduled start time.

  • Scheduled end time.

  • Site.

  • Service.

  • Check-in and check-out times (optional).

You'll be required to fill out the employee name, shift date, scheduled start time, scheduled end time, site and service. Check-in and out times are optional

Bill rates in Schedule Xpress

You can now manage bill rates in the Manage Rates module, as well as within the employee and site profiles in Schedule Xpress.

To view bill rates, simply toggle the option at the top center of the page in Manage rates.

Group by

If you have multiple types of bill rates, you can use the 'Group by' dropdown to view different bill rate types.

You can use the filter dropdowns about the grid to search for specific bill rates.

Note: The 'Applicable types on' option allows you to choose bill rates that are applicable for a selected date, or for the selected date and any dates thereafter.

Add bill rates

You can add bill rates by clicking 'Add bill rates' in the top right corner of the page.

'Add bill rates' is located in the top right corner. You'll use this feature when you want to add a new bill rate or group of rates

This option allows you to choose from the following bill rate types:

  • Employee Bill Rates

  • Site Bill Rates

  • Branch Default Bill Rates

  • Combination Bill Rates

The available options depend on how your database is configured. For example, if your system is set to use only site bill rates, you will only have the option to add site bill rates. If multiple types of bill rates are in use, different options will be available.

Bill rate lookup

You can use the 'Bill rate lookup' to find any bill rates associated with a specific date, employee, customer, site, or service. This feature makes it easy to locate and adjust the rate(s) you're looking for.

The 'Bill rate lookup' form will appear as shown below.

By entering the details and clicking 'Find rate,' the system will identify the corresponding rate.

You can choose a date, employee, site or service to locate a rate

Updating and deleting bill rates

You can update or delete rates by selecting them in the grid, clicking the wrench icon in the top right, and choosing either 'Update rate' or 'Delete rate.'

Note: This action can be performed in bulk by selecting multiple rates before proceeding.

Exporting bill rates

You can export your bill rates by clicking the wrench icon, selecting 'Export Rates,' and then choosing either 'PDF Export' or 'Excel Export.'

Bill rates in Manage people (employee module)

You can add employee bill rates or combination bill rates by selecting "Add bill rate" within the "Bill rates" tab in the employee profiles.

Bill rates in Manage sites (site module)

You can manage your billing settings from within the Bill Rates tab in your site profiles.

The options available for adjustment are:

  • Bill site: Toggle 'Yes' to bill the site or 'No' to prevent billing for the site.

  • Bill overtime: Toggle 'Yes' to bill overtime for the site, or 'No' to exclude overtime billing.

  • Calculate overtime billable by summing shift hours for the: This option lets you decide whether to calculate overtime based on site hours, customer hours, or branch hours.

  • Bill cycle: Choose the bill cycle the site belongs to. This is important for managing different billing cycles across your processes.

  • Bill rate rules for shifts at this site: Select the applicable bill rate rule for the site. Options include:

    • Employee bill rates

    • Site bill rates

    • Combination bill rates

    • Site billed at the highest rate when multiple bill rates are found

    • Site billed at the lowest rate when multiple bill rates are found

  • Bill stat: Toggle 'Yes' to apply a stat rate for stat holidays at this site, or 'No' to exclude stat rate billing for holidays.

Note: The type of bill rate you add will be associated with the setting for Bill rate rules for shifts at this site.

Documents in Manage people

A new 'Documents' feature allows users to upload and store important documents related to an employee, making it easy to revisit key information whenever needed.

This is located in the employee profile in Manage people.

Click 'Add Document' to create a new document.

You can click the dropdown arrow to view the contents of the document.

The pencil icon allows you to edit the document, while the trash can icon lets you delete it.

You can assign a title, effective date, expiry date, and select the employee(s) the document is associated with. Multiple employees can be selected if applicable.

You can use 'Tags' to categorized documents. For example, you may list bad reviews under a 'Bad reviews' tag.

Bug Fixes: February 2025

We’ve made important updates to improve the user experience. Below are the notable bug fixes applied in February 2025:

  • Glitch in Time Processing: Issue with Time Processing causing the page to jump back when updating a shift on pages beyond the first.

  • Time Processing trigger issue: Opening the advanced filters for employees or sites triggering the ReadShiftAttendanceEXT service unexpectedly, causing performance issues.
